The American Defense Industry Forum (“ADIF”, “we”, “us” or “our”) is responsible for the processing of personal data described in this notice.

When you contact ADIF, apply for membership, register for an event, request information, subscribe to communications, visit our website or otherwise interact with us, we may collect:

  • Your name and professional contact details;

  • Your employer, organization and job title;

  • Membership and event-registration information;

  • Your correspondence and communication preferences;

  • Information you voluntarily provide to us; and

  • Technical information necessary to operate and protect our website and online services.

3. Why we use personal data

We may process personal data to:

  • Respond to enquiries and requests;

  • Review and administer membership;

  • Organize and manage events;

  • Maintain professional and stakeholder relationships;

  • Send requested or otherwise permitted communications;

  • Operate, maintain and secure our website and information systems;

  • Manage our administrative and financial obligations; and

  • Comply with applicable legal requirements.

Depending on the circumstances, our legal basis is:

  • Taking steps at your request or performing a contract;

  • ADIF’s legitimate interests in administering the association, organizing events and maintaining professional relationships;

  • Your consent, where consent is required; or

  • Compliance with a legal obligation.

Where we rely on legitimate interests, we consider whether those interests are overridden by your rights and interests.

4. Recipients and service providers

Personal data may be accessed by authorized ADIF personnel and by service providers supporting our activities. These may include:

  • Odoo, for website, contact, membership, event and customer-relationship management;

  • Mailgun, for email delivery; and

  • Professional advisers, event suppliers and other operational service providers where their involvement is necessary.

We may share limited information with event partners or suppliers when necessary to administer an event and where permitted by law.

ADIF does not sell personal data.

5. International transfers

Some service providers may process personal data outside the European Economic Area. Where required, ADIF relies on an applicable adequacy decision or appropriate safeguards, such as the European Commission’s standard contractual clauses.

6. Retention

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including the administration of our relationship with you, satisfaction of legal and accounting requirements, resolution of disputes and protection of our legitimate interests.

Retention periods may differ according to the nature of the information and our relationship with you. Information processed on the basis of consent will no longer be used for that purpose after consent is withdrawn, unless another lawful basis applies.

7. Your rights

Subject to the conditions and limitations established by applicable law, you may have the right to:

  • Obtain confirmation that we process your personal data and receive a copy;

  • Ask us to correct inaccurate or incomplete information;

  • Ask us to erase personal data;

  • Ask us to restrict processing;

  • Object to processing based on legitimate interests;

  • Receive certain information in a portable format;

  • Withdraw consent at any time where processing is based on consent; and

  • Lodge a complaint with a competent data-protection authority.

8. Email and marketing communications

Where permitted, ADIF may send information about its activities, events and other relevant matters. You can stop receiving marketing communications by using the unsubscribe link in an email or contacting us at info@adifgroup.com.

Withdrawing consent or unsubscribing does not affect the lawfulness of processing carried out before the withdrawal.

9. Security

ADIF uses reasonable organizational and technical measures intended to protect personal data against unauthorized access, loss, misuse, alteration or disclosure. Nevertheless, no website, email service or internet transmission can be guaranteed to be completely secure.

10. Changes to this notice

We may update this Privacy Notice to reflect changes in our activities, services or legal obligations. The latest version will be published on this website with its revision date.
